Managing reports in ActivityInfo depends on how permissions and data visibility work together. If a user does not have the “Add forms, folders, and reports” permission, they can still create personal reports, but they can only save them under “My reports” instead of the database. While the “Publish reports” permission allows for public sharing, the ability to edit a report requires the “Edit forms, folders, and reports” permission and access to the original forms.
Data in a report is shown based on what the creator can see, which means it ignores any record-level restrictions assigned to the person viewing it. Because of this, the best way to keep data private in multi-partner projects is to create a separate, filtered report for each partner. These rules help administrators organize data safely while making sure the right people have access.
